New Staff Orientation

New Staff Orientation is VUMC's way of welcoming you to a thriving cultural center that embraces and celebrates unique talents and contributions. Designed with you in mind, New Staff Orientation teaches you everything you need to know as you begin your VUMC career.

You will be registered for the necessary orientation sessions and information will be sent to your personal email address. If you have not received orientation information before your first day of work, refer to the Questions section below to find the appropriate contact for each orientation.

Portions of orientation take place online, while others will take place in person. You will be sent a message to your personal email address on the Friday before your orientation date. It will include the specific time you should come to complete the portions that require your presence. See below for important information and instructions for new hires.


VUMC ID

This is your personal username to access your new VUMC email and our networks. You should receive an email from vumc@myworkday.com with instructions on how to claim and activate your VUMC ID. This message will come to your personal email address. It is vital you claim and activate your VUMC ID as soon as possible. You will need it to begin your Occupational Health screening before your first day, along with many steps in your onboarding process. 

Once you have claimed your VUMC ID, you will be able to use your VUMC email to log into MyWorkday and complete additional onboarding tasks as well as other VUMC systems.

Immunizations

At your in-person orientation session, you will have the opportunity to complete your Occupational Health screening and receive any required immunizations at All Aboard. Before your orientation session, you will need to upload your immunization records to Occupational Health. Do no upload your records through Workday. If you are unable to attend All Aboard on your orientation day, you may visit the Occupational Health Clinic to complete your health screening (appointment required). I-9 Employment Eligibility Verification

Once you have claimed your VUMC ID, you can log in to MyWorkday to complete the Inbox tasks. Once ALL tasks have been completed, you will receive a second set of tasks that will include “Complete Form I-9”. This is where you will initiate part one of the I-9 process. You will complete Part 2 at the in-person portion of orientation. Click here for more information. You will receive a message to your personal email letting you know what time to arrive at orientation to complete Part 2 of your I-9.

ID Badge Photo

You can upload a photo for your ID badge prior to orientation, and you are strongly encouraged to do so. This will save time and ensure you are able to pick up your badge on your first day. 

New employees can upload a photo from a computer or smartphone via csgoldwm.app.vumc.org. Click here for instructions for uploading a photo from a desktop computer. Click here for instructions for uploading a photo from a smartphone.

You can also upload a photo to your Workday profile. You can do that by completing your task in Workday. The Add My Photo Task will appear after you've completed the first set of task, which include entering your personal information and uploading your government ID. You are also able to take a badge photo at orientation, and you will receive your badge at orientation once it's been processed.

Review VUMC benefits information before your first day to see details for which benefit you may qualify. Note: a VUMC ID is required to view benefits information.

What to Wear

Business casual attire or work clothes and/or uniform are recommended for all orientations. Since orientation is paid work time, we ask that you dress as you would for a day at work. Check with your supervisor for any other instructions.

What to Expect

Depending on the services you need, you can expect to spend no more than four hours at orientation. Clinical staff will have additional requirements.


Parking

For staff hired to work at VUMC main campus: For the in-person portion of orientation, free parking is available in the N Lot 73A. Park in any numbered parking space and take a shuttle to the Medical Center. The address for the location is Parking Lot 73A, Nashville, TN 37212. For a map of the parking lot and shuttle instructions, click here. Take the BLUE shuttle which arrives every 5 minutes to Medical Center North (MCN) by the Eskind Biomedical Library. Please allow at least 15 minutes travel time between locations.

For staff hired to work at Vanderbilt Wilson County Hospital: The in-person portion of hospital orientation will be held at Vanderbilt Wilson County Hospital, located at 1411 W. Baddour Parkway, Lebanon, TN, in the Women's Pavilion classroom. Free parking is available in front of the Women's Pavilion, and you will enter thru their designated entrance.

For staff hired to work at Vanderbilt Bedford Hospital: All classroom experience is in the classroom on the first floor at 2835 Hwy 231 N, Shelbyville, TN 37160. Park in the parking lot in front of the hospital and enter through the main entrance, and turn left towards the cafeteria. The classroom is located on the corner of the hallway on the right.

For staff hired to work at Vanderbilt Tullahoma-Harton Hospital: All classroom experience is in the Private Dining Room next to Outpatient Registration at 1801 N. Jackson St, Tullahoma, TN 37388. Park on the backside of the hospital in the Outpatient Parking Lot. Enter through the Outpatient entrance and turn left. The Private Dining Room is located on the left across from the restrooms.
