Application Process (Required Documents & Steps to Apply): Vanderbilt Staff

Applications must be received at least 30 days before the anticipated observation experience date unless a preceptor has pre-approved prior arrangements.

Observation confirmations may take longer than 30 days to confirm. If observation requests cannot be fulfilled, the applicant will be notified by email.

Complete the Vanderbilt Observational Experience online application ( → ).

The following documents in a jpg or pdf format will need to be uploaded with the application:
1. Occupational Health Record
2. Health Insurance Card
3. Signed Confidentiality Agreement

Next Steps after Application is Received: Current Vanderbilt Staff Member

Application approval status will be emailed approximately one week before the requested observation date.
If the requested observation or preceptor cannot be fulfilled, additional options may be provided to the applicant.

If the applicant is approved to participate in the Vanderbilt Observational Experience, instructions will be provided to
- pick-up a temporary VOD ID badge necessary for observing while at Vanderbilt University Medical Center
- observation details including meeting location and contact information will be provided.
