New House Staff

Welcome!  

We are glad you are joining the Vanderbilt University Medical Center community. You will receive a Welcome Email with instructions to access a task list which provides detailed instructions on what to do to begin employment at VUMC. A follow up email, which includes your contract, will be emailed out mid to late April to the email address listed on each new resident/fellow's application.  

New House Staff Orientation for incoming Residents (PGY-1) will be June 24th, 25th, and 26th, 2024. (With Program Orientation to follow on June 27th and 28th, 2024) 

  • June 24th, 25th and 26th, 2024 will be in-person 

New House Staff Orientation for July-starting incoming Residents, Fellows, and Clinical Fellow/Instructors (PGY -2 and higher) will be July 1st, 2024.  

  • July 1st, 2024 will be in-person

Late House Staff Orientation for August-starting incoming Residents, Fellows, and Clinical Fellow/Instructors (PGY -2 and higher) will be July 31st, 2024. 

  • July 31st, 2024 will be in-person 

Incoming Clinical Fellow/Instructors will need to also attend New Clinician Orientation (NCO) that will be separate from GME Orientation for their appointment as an instructor. 

  • July – starting Clinical Fellow/Instructors will attend NCO on July 10th, 2024 virtually via Teams
  • August – Starting Clinical Fellow/Instructors will attend NCO on August 14th, 2024 virtually via Teams

MEDICAID/TENNCARE ENROLLMENT

  • A valid TennCare/Medicaid ID number is required for participation in TennCare, Tennessee’s Medicaid program. Most house staff will be automatically enrolled by the GME office and no action needed by the house staff.  However, some house staff will be identified by the state as needing to enroll individually. When/if this occurs, you will receive a notification email from GME.office@vumc.org providing guidance and asking you to enroll individually for Medicaid/Tenncare.  A Medicaid  enrollment guide for TN licensed HS can be found at Medicaid Tenncare Enrollment Guide for TN licensed HS from provider enrollment.

Medicare Enrollment

  • CMS requires all providers, to include residents, and fellows, must be enrolled as a Medicare provider to be able to order/refer items or services to Medicare beneficiaries. If you plan to order/refer, please follow the guidance created by provider enrollment found at Medicare Enrollment Guide for HS from Provider Enrollment. At this time there is no CMS option for centrally enrolling House Staff and we ask that you please complete enrollment individually.  Note - unlicensed house staff enrolling are required to upload a signed document on letterhead confirming their position.  The document was/will be emailed to you from gme.office@vumc.org  with the word “Medicare” in the subject line prior to your start date.  The Medicare document was/is in the body of the email and not sent as an attachment.  Please contact gme.office@vumc.org with questions.
