VUMC IT has been managing several changes to enable the Medical Center to move to its new email and Skype for Business (Skype) environment, Microsoft Office 365.
With Steps 1 and 2 nearly complete, our focus turns to Step 3, migrating our email environment and Skype accounts to the Microsoft Office 365 cloud environment.
When will your migration occur?
VUMC employees will migrate to Microsoft Office 365 with their departments over the next several months, with the first department receiving communication about their migration this week.
What are your migration details?
Each department will receive a series of emails that will detail each step of the migration process with specific instructions about what to expect and what to do.
- One month before migration: Notification about the migration of your email content, Skype accounts, and Shared Exchange Mailboxes (SEMs) and specific actions you need to take before your migration occurs.
- One week before migration begins: Reminder email about your migration with additional actions you need to take before your migration occurs.
- The day migration begins: Information about what to expect during the migration. Migrations will take approximately one week. There will be no disruption to your ability to use email during this process.
- The day before migration ends: Reminder that your migration will complete the following day. This email will contain with specific instructions and actions you need to take the day your migration ends.
- The day migration completes: Instructions about steps to take to restart your Outlook and Skype applications.

How can you prepare for the migration?
To ensure a successful migration with minimal issues:
- Communicate your new @vumc.org email address to customers, vendors, constituents, and peers
- Confirm that you are using Outlook 2016
- Delete any unneeded emails or folders
- Empty your deleted email folder
- Gather and save Skype address information for contacts outside the Vanderbilt organization (e.g.- vendors, personal contacts, etc.)

If you have not received your Office upgrade, call the Help Desk at 615-343-HELP/3-4357. When you call, indicate that you have not received your Microsoft Office upgrade.
If your computer is not managed by VUMC IT, please consult your Independent Support Provider regarding your Office upgrade.
